Hosted Email Model

Smarsh's Hosted Email Model is generally implemented for smaller organizations looking for an outsourced, full-service hosting solution or those that wish to offload the burden of email management and compliance. 

Smarsh will acquire and completely configure a server(s) for your organization. We typically handle every aspect of implementation, from setting up the email server and software to the ongoing maintenance, backups, archiving, upgrades, etc. Once the system is in place, Smarsh can create as many user accounts as needed, all of which can be accessed through any web browser, Outlook, Outlook Express, or any other common mail client.
 
Incoming, outgoing and internal emails are captured instantly and actively by the Smarsh archive server. Any message sent or delivered by the customer’s end-users will be archived and processed by Smarsh.
 
Captured messages are placed in an archive mailbox using SMTP delivery (locally, no open transmission). This mailbox is the sole domain of each customer, thus avoiding any commingling of messages. 
 
Next, our proprietary archiving software retrieves these messages from the archive mailbox and:
 
  • autoscans new messages for keyword, phrase or rule violations established by the customer;
  • indexes each message using a full-text index/catalog to permit searches in our web applications;
  • archives the messages to WORM storage for regulatory compliance;
  • stores working copies of attachments and email files to a file server to facilitate immediate access to message files and attachments in the web application and CD/export tools;
  • replicates archived messages to remote datacenter(s).
     
Smarsh offers POP3, IMAP, and full Microsoft Exchange email hosting options for our customers. Regardless of the hosting option chosen, each customer’s emails are instantly captured and processed by our proprietary archiving software.
