Tools That Protect Clients, Tools That Protect You

Protecting client data has never been more mission-critical.  Misaddressed recipient lines or overzealous use of "auto-complete" can lead to embarrassment, reputation damage and/or lost revenue. Failure to protect sensitive client data, such as social security numbers or bank account information, could put your company at risk. The leakage of proprietary information or corporate intelligence, whether intentional or not, can be damaging. And, despite your company's best efforts to educate and enforce policies, human error and the traditional "casual" regard to email creates unnecessary risk.  With increasing governance and regulatory obligations, the punitive consequences associated with failure to protect sensitive data outweigh the cost of deploying encryption technology.

Using the flexibility of the Smarsh policy enforcement rules engine, utilizing data-leak prevention and email encryption, firms can implement data security policies without relying on their employees’ manual efforts. Departments can establish customizable polices and automatically enforce encryption on specific communications based on policy criteria. The intelligent pre-review engine will help prevent important institutional knowledge from leaving (or entering) your organization.

Sending messages using the Smarsh email encryption/data-leak prevention platform is an intuitive and easy user experience, and it will enable your company to fortify trust with clients and strengthen brand presence with a demonstrative commitment to client data security.

Email Encryption/Data-Leak Prevention

Protect your firm against employees leaking confidential information to the public (account numbers, social security numbers, tax information, etc.) and create data-leak prevention rules based on sender, recipient, domain, content, file type, or any combination of criteria.

Features include:

  • Simplicity | No hardware, software or plug-ins are needed to access the Web-based system, and there are no certificate or key exchanges necessary to access secure messages.
  • Flexibility | Smarsh offers flexible options to meet policy-based encryption requirements. Utilizing our robust rules engine, companies can feel confident that their policies are being implemented, even if they aren’t reviewing every single message. Stop potentially risky emails, files, and attachments before they leave each firm, automatically encrypt messages that meet established criteria via the smarshEncrypt secure messaging platform, hold potentially risky emails in queue for review, or assign blocked emails to appropriate reviewer for action.
  • Automation | Automatically trigger smarshEncrypt secure messaging for email, files and documents that meet specified criteria.
  • Customization | All aspects of the smarshEncrypt experience – including notifications – can be customized, strengthening branding efforts and building trust with a demonstrated commitment to client data security. Communicate with your clients, and give them the peace of mind that comes with knowing that the security of their data is a priority to your organization.
  • Portability | Can be used with Outlook, CRMs, mobile devices, custom applications, etc.
  • Integration with an email archive | The saying still holds true, “If you can’t review it, you can’t use it.” Many software systems improperly handle encrypted email messages so when they are sent to an archive, legal and compliance users no longer have the ability to review them. Using the fully-integrated Smarsh suite of archiving and encryption services, clients will be able to search, review and produce encrypted emails just like any other.
  • Consolidation | Within the Smarsh Management Console, clients will have the integration of all administration tools in one place. There is no need to log into one application for encryption, another for quarantine review, and then another for surveillance. Having it all in one place provides a more efficient process for administrators and reviewers.
  • Save money with consolidated solutions | Eliminate the need for multiple vendors addressing email compliance, security and classification.
  • Audit tracking | Track the entire life cycle of an email message through your compliance audit system. Start with the original ("pre-encrypted") message and track all actions taken on it.
  • Disable forwarding | Prevent messages from being forwarded.
  • Secure file transfer | Clients can also use smarshEncrypt as a dedicated, secure file transfer system and eliminate the impact of file-size limits within their email systems. Email related storage and costs are reduced, as is impact on network bandwidth.

Policy Creation

Email traffic is routed through the smarshDLP policy engine. The proprietary solution systemizes and automates the filtering of outbound email, scanning each email sent and taking action (before delivery) if there is a match. Administrators can create flexible policy options if messages match specific criteria:

DELIVER MESSAGES

BLOCK MESSAGES

QUARANTINE MESSAGES FOR REVIEW

Send messages to a pending queue for administrator approval.
If approved, administrators have the following options:

Encryption Options

Administrators have flexible encryption options including delivery via either the smarshEncrypt platform or TLS.

Data Loss Prevention Solutions

smarshEncrypt is a secure messaging platform that enables users to securely send and receive electronic data. Recipients are notified of the secure transmission and follow simple instructions to access the smarshEncrypt system. The sender and recipient(s) can securely read, reply, and forward messages sent via the platform. smarshEncrypt is designed to integrate seamlessly with Smarsh’s hosted email archiving and compliance solutions. The entire life cycle of an email can be tracked, starting with the original “pre-encrypted” message and includes a comprehensive audit trail of each message.

DLP Tools

With TLS delivery, messages are sent directly to a recipient(s) inbox over an encrypted tunnel. If TLS is not supported by the recipient(s) mail server, Smarsh can deliver the message using smarshEncrypt.
